An office move is not only a furniture move. It is a coordinated handoff among the business, building management, IT support, vendors, staff, and the moving company. The strongest plan assigns one decision-maker, one approved inventory, and one timeline.
Use this checklist to prepare a Brooklyn commercial moving request. The final services, handling requirements, price, and availability still need to be reviewed and confirmed.
Assign one move coordinator
Choose one person who can answer scope questions and approve decisions. That coordinator should maintain:
- The current and destination addresses
- Building contacts and approved moving windows
- Master inventory and floor plan
- Vendor and IT contacts
- Staff instructions
- Items not included in the moving scope
- Escalation contact for moving day
Conflicting directions from multiple staff members can create delays and misplaced items.
Build the inventory by department and destination
List furniture and equipment by current area, then state where each item goes. Include:
- Desks, tables, chairs, cabinets, shelving, and reception furniture
- Computers, monitors, printers, phones, and peripherals
- Conference-room equipment
- Kitchen or break-room items
- Files and records
- Artwork, signage, displays, and marketing materials
- Inventory, samples, tools, or specialized equipment
- Approximate box and crate counts
Identify serial-controlled, confidential, unusually heavy, fragile, or high-value property that may require a separate process. Do not assume a general moving scope includes data handling, secure destruction, hazardous material, server work, or specialty rigging.
Separate moving work from IT work
Decide who will disconnect, back up, transport, reconnect, and test technology. A moving company should not be presumed to perform network engineering, data migration, electrical work, or device configuration.
Before shutdown:
- Confirm data backups through the business's authorized IT process.
- Photograph approved cable arrangements if useful.
- Label devices, power supplies, and destination workstations.
- Remove passwords and sensitive access information from visible labels.
- Establish who signs off after testing at the destination.
Keep credentials and private customer or employee information under authorized business control.
Confirm both buildings' requirements
Ask each property manager about:
- Permitted moving dates and hours
- Freight elevator reservations
- Loading dock or service entrance
- COI wording and submission deadline
- Floor, wall, doorway, and elevator protection
- Security-desk procedures and access cards
- Vendor sign-in or identification requirements
- After-hours rules and building staffing
Send the exact requirements with the request. Selecting COI support does not itself approve the certificate, reserve an elevator, or confirm the move.
Design a label system before packing
Use labels that identify the destination, not just the current location. A practical format is:
DEPARTMENT — ROOM/ZONE — ITEM NUMBER
Give the destination floor plan the same room or zone names. Use a separate “do not move” label for leased equipment, confidential disposal, fixtures, and property that belongs to the building.
Plan business continuity
Decide which functions must remain available during the transition. Keep essential devices, files, keys, and communications under staff control. Notify customers and suppliers only with accurate, approved dates.
Build time for access, loading, travel, unloading, IT setup, and testing. A requested moving window is not the same as a guaranteed reopening time.
Prepare employees for moving day
Send one concise instruction sheet covering:
- Packing responsibilities and deadline
- Label format
- Personal items
- Confidential materials
- Items that stay
- Building access and remote-work plan
- Who can authorize a scope change
Keep employees outside active carry paths unless their presence is required and approved.
